Does a small business really need an AI chatbot? An honest answer

We build AI assistants, so you might expect us to say everyone needs one. They do not. A chatbot is useful in a few specific situations and a nuisance in many others. Here is how we think about it.

When it helps

An assistant earns its place when the same questions arrive again and again, at all hours, and the answers are written down somewhere. Opening hours, parking, whether you take a certain insurance, check-in times, how to change a booking. If your reception team answers the same ten questions every day, there is something to take off their plate.

It also helps outside office hours. A visitor who asks a question at 11pm and gets a sensible answer is more likely to still be interested in the morning.

When it does not

If your enquiries are rare and all different, a bot has little to work with. If your customers are anxious or the questions are sensitive, such as medical concerns, they usually want a person. And if your own information is out of date, the assistant will repeat the mistakes confidently.

The assistant is only as good as what you give it

The quality comes from your content: clear answers, current prices, honest limits. A good set-up draws only from material you approve and says plainly when it does not know, handing the conversation to a human with the details already collected.

  • Answers based on your own approved pages and documents
  • A clear hand-off to a person, with the visitor's question attached
  • A log you can read, so you see what people really ask
  • Language support that matches your visitors

Start small

Pick the five most common questions, get those right, and see what happens for a month. The log will tell you what to add next. The projects that go wrong are the ones that try to build an all-knowing assistant on day one.

Think about privacy

Tell visitors they are talking to an assistant, keep personal data to the minimum and do not let it collect anything sensitive unless you have a clear reason and a clear legal basis. In Europe that means being able to explain what you store and why.
